Jerry,
Thanks for your note. Your suggestion of utilizing the same form for all public records requests is a sound one. In fact, as you point out, the town already has the form at our front desk.
I have asked our Town IT Director to put our Public Information Requests form online so that people can visit our website at www.cavecreek.org to submit their records requests. I am also going to direct or staff that ALL PUBLIC RECORDS REQUESTS need to be submitted online so that we can keep track better. The new system will allow information to be captured and automatically submitted to the Town Clerk as well as for those submitting requests to receive a digital receipt. I have spoken with our Town Attorney and she believes that requiring this type of request is appropriate and legal so I thank you for the suggestion.
I have asked our IT Director (who also does our graphic design) to create the new form and to have the process implemented by the end of the month. He has a number of other projects he is working on including our new quarterly newsletter, that was started at the suggestion of CM Monachino.
I am sure the Town Clerk received your most recent request and will work to respond after her return. Thanks again for your great suggestion and for helping make the town just a bit better!
Rodney
